Human Resources Assistant

JOB SUMMARY:
Under the direction of the Director of Human Resources, the Human Resources Assistant provides support to the Director and completes human resources functions on a system-wide basis. The Human Resources Assistant oversees and administers all aspects of hiring/intake process, time and attendance system and substitute teachers. This position generates all correspondence and confidential communications from the Human Resources Department and when needed attends meeting with the Director in a support role. Additionally, in support of the Human Resources function, the HR Assistant will create and conduct training, lead meetings and supervise the Central Office receptionists.
QUALIFICATIONS:
Minimum of an Associate of Arts in Business or a related area and up to five (5) years of experience in human resources or a related business field.
Maryland Public School system human resources experience, strongly preferred.
Demonstrated ability to use office equipment and appropriate business software such as Microsoft Office Products. Experience with Google Apps (Docs, Sheets, Forms, etc.).
Knowledge of human resources specific software such as Applitrack, Aesop, eSchool, ADP and Sunguard or the equivalent preferred.
Demonstrated ability to design, create and execute numerous projects using databases, graphs, charts, spreadsheets and type 30 to 60 wpm with accuracy.
Demonstrated ability to provide assistance, guidance and technical direction to others, based on policy knowledge.
Demonstrated ability to deal effectively with staff and the public. Must be pleasant and professional.
Demonstrated ability to create and conduct training.
Demonstrated ability to timely complete tasks with minimal supervision.
Demonstrated ability to maintain confidentiality.
RESPONSIBILITIES:
1. All aspects of the hiring and intake process, including but not limited to, Scheduling processing appointment and drug testing.; before processing appointment, enter employee in SunGard, ADP, Central Call and prepare paperwork; at processing appointment, employment paperwork and badge; and, HR policies reviewed. This includes organizing and leading all large and small orientation sessions for hires in the summer time and at other times during the year.
2. Staffing, including but not limited to, Maintaining the application software; implementing new user features; reviewing applications to find qualified candidates; scheduling interviews; collecting and filing all interview materials; communicating with successful and unsuccessful candidates.
2. All aspects of the ADP payroll system, including but not limited to, setting up new employees, training new users, verifying accuracy of time clock data, running reports; and, entering and resolving changes and exceptions.
3. Responsible for Central Call (Substitute Teacher) system, including but not limited to, setting up new substitutes, training new system users, verifying accuracy of information, running reports; and, resolving changes and exceptions.
4. All aspects of substitute teachers, including but not limited to, creating, organizing and conducting new and returning substitute training, processing new and returning substitutes, scheduling interviews for long term substitutes and related correspondence.
5. Responsible for part time central office receptionists including interviewing and recommending for hire, scheduling and resolving or reporting any issues to the Director.
6. Calculate and track longevity. That involves monitoring service dates, teaming with Finance for reports, sending pay increase information to Finance when a support employee is eligible for an increase, and finishing the project in SunGard by entering full-time start and end dates for all teachers.
7. Attend meetings when necessary, take notes and participate, including, but not limited to, negotiations and meetings with employees and employee groups.
8. Creates reports for the Director and the Executive Team. Including but not limited to, Personnel Actions reports.
9. Completes all correspondence generated from the department, including but not limited to, FMLA leave letters, letters for Approved leaves, Board approved resignations and retirements, and memos.
10. Calculates and creates the certificates for Years of Service and Perfect Attendance certificates.
11. Schedule the Director for presentations, policy reviews and other meetings. Assist Director in relevant aspects of the human resources function.
12. Assist in updating content on the Human Resources section of the system website.
13. Make suggestions to improve aspects of the human resources function though technology or changes to processes.
13. Other duties as assigned by the Director of Human Resources.
PAY & HOURS:
This position is a 12 month position with a minimum of 35 hours per week. Queen Anne's County Board of Education, Salary Scale: $38,015 - $54,498..
Placement on the appropriate salary lane/step will be based on knowledge, skills and abilities related to this position.

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
